Takurua Vets is committed to providing a professional, respectful, and transparent veterinary service. We recognise that concerns or misunderstandings can occasionally arise and believe they are best addressed through a clear and structured resolution process.
This policy outlines how complaints are received, reviewed, and resolved within the clinic.
Clients who have a concern about their experience are encouraged to contact the clinic directly as soon as practicable. Concerns may relate to clinical care, communication, billing, or service delivery.
Where possible, concerns should be raised with the clinic team involved so they can be addressed promptly and informally. Many issues can be resolved quickly through direct discussion.
If a concern cannot be resolved informally, or if a client prefers to make a formal complaint, the matter may be submitted in writing to clinic management. This allows the issue to be reviewed accurately and fairly.
Formal complaints are assessed by senior clinic staff and, where appropriate, by the lead veterinarian responsible for clinical governance.
All complaints are reviewed in good faith and considered on their individual merits. The review process may include examining clinical records, internal notes, and relevant correspondence, and may involve discussion with staff members involved in the care provided.
Where clinical judgment is involved, complaints are assessed in the context of accepted veterinary standards, available information at the time, and the professional obligations of the veterinarian.
Takurua Vets aims to respond to formal complaints within a reasonable timeframe. Where appropriate, we will provide an explanation of the care provided, clarify any misunderstandings, and outline any steps taken to address identified issues.
Responses are provided respectfully and professionally. While we strive to resolve concerns constructively, not all complaints may result in a change to clinical decisions or outcomes.
Certain matters may be subject to professional, legal, or confidentiality constraints. In these cases, the information we are able to disclose may be limited.
Takurua Vets does not engage in complaint discussions through public forums or social media. Clients are encouraged to use the clinic’s formal channels to ensure concerns are handled appropriately and confidentially.
If a client remains dissatisfied after the clinic’s internal review process, they may seek independent advice or contact relevant professional bodies. Takurua Vets cooperates fully with appropriate regulatory or professional review processes where required.
